A folder full of “invoice-final”, “invoice-final-2” and “invoice-sent” files is a version-control problem. A short naming rule and a clear status label prevent the wrong file from being sent. A consistent invoice file naming rule prevents a draft from being mistaken for the sent copy.
Use a predictable name
A name such as 2026-03-05_NorthStudio_INV-2026-0042_v01.pdf contains the date, customer, invoice number and version. The invoice number is the anchor; the version distinguishes a draft from the sent copy.
Separate status from version
| Suffix | Meaning | May be sent? |
|---|---|---|
| v01 | First prepared draft | No, until reviewed |
| v02 | Revised draft | No, until reviewed |
| sent | Exact file sent to the customer | Already sent; keep unchanged |
| void | Cancelled or replaced | No |
The labels are a suggested convention, not a legal requirement. The important part is that everyone uses the same meanings.
Never overwrite a sent file
If the customer asks for a correction, create a new version and a credit note or replacement invoice according to your process. Keep the sent file unchanged so you can show what the customer received. Do not rename the old file to “final” after the fact.
Store one authoritative folder
Use one shared folder per year or customer, with a clear archive. Avoid emailing a file from a downloads folder while the authoritative copy lives elsewhere. If cloud storage keeps versions, confirm that the visible file still follows the naming rule.
Check before sending
- Does the file name match the invoice number and customer?
- Is the status “sent” only after the email is actually sent?
- Are old drafts moved out of the sending folder?
- Does the PDF show the same total as the ledger?
Use How to Fill Out an Invoice for the document fields, and the numbering guide to keep the reference unique.

At month end
Archive sent invoices by year and invoice number, and remove drafts from the sending folder. A short index of number, customer, date and status makes the archive searchable without opening every PDF. Use the same convention for credit notes and receipts so the related documents sort together. Keep the authoritative copy in one place.
