Invoice vs. Receipt: What Each Document Records

The practical difference between an invoice and a receipt, a side-by-side comparison, and why a paid invoice and a receipt are not interchangeable.

An invoice asks for payment. A receipt confirms that payment happened. They can describe the same transaction, but they do different jobs and are usually created at different moments. The invoice vs. receipt distinction matters because one requests payment and the other confirms it.

Why a paid invoice is not automatically a receipt

An invoice marked “paid” can be useful, but the marking is a status, not independent proof that funds cleared. A separate receipt, bank record or payment-provider confirmation gives the customer a document focused on the payment event. Keep both if your process or customer needs them.

A small sequence

  1. Send the invoice with the amount, due date and payment instructions.
  2. Record the payment when it clears, not when it is promised.
  3. Issue a receipt with the payment date, amount and method.
  4. Keep the invoice number and receipt reference linked in your records.

Common mistakes

  • Using a receipt as a request for payment before anything is paid.
  • Treating an unpaid invoice as proof of income.
  • Issuing a receipt for a pending bank transfer that later fails.
  • Assuming one country’s tax rules apply everywhere.

Scope

This is a document-workflow explanation, not tax or legal advice. Local rules may require particular content or timing. Check the rules that apply to your business and customer.

Use the invoice field guide to prepare the request, and the numbering guide to keep references consistent.

What to send after payment

If the customer needs a receipt, send one that identifies the payment date, amount, method and the invoice it relates to. Do not alter the original invoice to look like a receipt. Two linked documents are clearer than one document asked to serve both purposes. Keep the pair together in your records so a later question can be answered from the same file set.
