An invoice number is an identifier, not decoration. It should let you find the invoice later and distinguish it from every other document you have sent. A simple sequence is usually enough for a small service business. A simple invoice numbering system should make every document easy to find and distinguish.
Use three parts
A prefix, a year and a sequence such as INV-2026-0042 is easy to read and sort. The prefix identifies the document type, the year helps with archives, and the sequence provides uniqueness. If you have two legal entities, add a short entity code rather than reusing one sequence across both.
Keep one sequence per issuer
Decide where the sequence starts and who may issue the next number. If two people invoice from the same business, a shared list or system prevents duplicates. Do not let a spreadsheet formula reset the sequence without a deliberate rule.
A small example
| Invoice number | Customer | Issue date |
|---|---|---|
| INV-2026-0041 | North Studio | 2026-03-02 |
| INV-2026-0042 | River Co | 2026-03-05 |
| INV-2026-0043 | North Studio | 2026-03-18 |
The names and numbers are fictional. The same customer can receive more than one invoice; the number, not the customer name, identifies the document.
Do not renumber after sending
If an invoice contains an error, issue a credit note or a corrected invoice according to your process, and keep the original number traceable. Renumbering a sent document breaks the link to the customer’s records and your own.
Check local requirements
Some jurisdictions or customers require a particular format, sequential numbering or registration details. This guide does not decide those rules. Check the requirement that applies to you or ask a qualified adviser before changing a working system.
Use How to Fill Out an Invoice for the other fields, and the file-naming guide to keep the number consistent with the saved file.

Keep a backup of the sequence
Record the last issued number somewhere outside the invoice file, such as a simple register. If a file is lost or a new template is created, the register prevents an accidental duplicate. Test the next number before a busy billing day rather than during it.
